Terms & Conditions
These Terms and Conditions constitute the basis of your agreement with Wildest Vet, the wildlife program facilitated by Dr Willem Burger Consulting (Pty) Ltd.
In these Reservation Terms and Conditions, references to “you” and “your” include the primary person listed on the reservation .
By making a reservation, the primary person listed agrees on behalf of all individuals named on the reservation that:
- they have read these terms and conditions and have the authority to agree to them and be bound by them;
- they accept financial responsibility for payment of the reservation on behalf of all persons listed on the reservation.
- Placing a Reservation: A legally binding agreement will be established between you and us as soon as we confirm receipt of your initial payment. We reserve the right to refund your payment and reject your reservation at our absolute discretion.
- Payment for Your Reservation: You will need to make a non-refundable deposit of 50%, or pay the full amount for your reservation at the time of booking.
The full balance is due two months before your arrival date. If you make a booking within two months of departure, full payment is required immediately.
If full payment is not received by the due date, we reserve the right to consider your reservation cancelled by you.
- Participating in activities: By making your reservation with us, you acknowledge that you will be participating in activities that may be hazardous at times.
Certain activities may involve risks and therefore an indemnity will be required to be signed by you on arrival. While we make every effort to ensure that projects, operators, and transfer providers operate safely and responsibly, you must always use your judgment to assess if your personal safety is at risk and take appropriate action. You may also be required to read and agree to a consent document to participate fully in activities at the project. If you have any concerns before making your reservation, please discuss them with us.
Please note that due to the nature of the projects, advertised facilities and activities may become unavailable or subject to change on short notice. Such changes are beyond our control, and we cannot accept liability in such circumstances.
Private excursions, tours, or activities (Excursions) outside of your Wildest Vet Experience itinerary, that you choose to book or pay for during your trip are not part of your contractual arrangements with us. Your contract for any Excursion will be with the operator of the excursion or tour, not with us. We are not responsible for providing the excursion or tour or for any incidents that occur during its provision by the operator.
- Accuracy: We strive to ensure the accuracy of all information and prices on our website and in any promotional materials we distribute. However, occasional changes and errors may occur, and we reserve the right to correct prices and other details in such instances. Before confirming your booking, please verify the current price and all other details related to the arrangements you wish to book.
- Travel and Medical Insurance and Acknowledgment of Risks: Having valid travel and medical insurance for the entire duration of your trip is a mandatory requirement of your booking. Your insurance must be adequate for the activities you will undertake and cover your belongings, including emergency treatment (including airlift) and repatriation service.
We will need you to provide us with the name of the insurance company and policy number 8 weeks before your departure. If you extend your stay beyond the originally booked period, you are responsible for obtaining adequate and valid insurance for the extended period.
It is your responsibility to carefully review the terms of the travel insurance policy at all times and determine its suitability for your needs.
- Shortening or Extending Your Stay: If you need to cut your trip short and return home early, we are unable to refund the cost of any unused services. If you decide to shorten your trip and return home early without reasonable cause for complaint about the service quality, we will not provide a refund for the unused portion of your trip or cover associated costs you may incur. Depending on your circumstances, your travel insurance may cover curtailment, and we recommend making any claims directly with them.
Alternatively, if you wish to extend your participation in a project, please contact us directly so we can make arrangements for you.
- Medical Conditions, Disabilities, Dietary Requirements, Allergies, Mental and Emotional Health, and Phobias: When booking a trip with us, anticipate participating in physically demanding activities in remote and isolated locations under potentially challenging conditions. We strongly advise you to be physically, mentally, and emotionally prepared. While we are happy to share information about our experiences, we cannot provide medical advice.
Before booking with us, it is advisable to consult a medical professional for travel health advice, and again about 12 weeks before departure to allow sufficient time for any necessary vaccinations. Provide details of your travel destination, dates, and planned activities. Seek advice on your suitability for the trip, required vaccinations, medications, or any special travel requirements.
We strive to accommodate any special requirements or requests you may have. If you or any member of your party has any medical condition, disability, reduced mobility, dietary requirements, allergies, mental health issues, phobias, or special requests that may affect your participation in the trip (Conditions), please provide full details before confirming your booking so we can advise on the suitability of your chosen arrangements. If we are unable to adequately accommodate these needs or requests, we reserve the right to decline your booking.
If you fail to disclose any Conditions at the time of booking, we reserve the right to cancel your trip and apply applicable cancellation charges upon becoming aware of these details. If we discover such Conditions after your arrival at the project, we are not obligated to accommodate you.
- Positive Contribution and Conduct: As a condition of booking, you are expected to positively contribute to the project and conduct yourself appropriately both at the project site and during travel to and from it. This includes adhering strictly to project rules and regulations, participating in daily project activities as required by project managers, coordinators, rangers, or guides, and demonstrating tolerance towards fellow participants.
You agree to adhere to our House Rules and Accommodation arrangements.
If, in our judgment or the judgment of any person in authority, your behaviour or that of any member of your party is deemed offensive, distressing, dangerous, or annoying to other participants or third parties, causes property damage, disrupts transportation, or violates project rules and regulations, we reserve the right to terminate your arrangements immediately. In such cases, we assume no further obligations to you or your party. No refunds will be provided for lost accommodations or services, and we will not reimburse any expenses incurred due to termination. You and your party may also be held liable for damages or losses resulting from your actions, jointly and individually.
Specifically, illegal activities, violent behaviour, substance abuse, and failure to follow instructions from project managers, coordinators, rangers, or guides will not be tolerated.
- Changes or Cancellation by Us: Since we plan your arrangements well in advance, there may be occasions where we need to alter or cancel your booking, and we retain the right to do so at any time.
If we cancel your booking with no viable alternatives available, we will refund all payments made for this booking.
- Passport, Visa, Immigration, and Health Requirements: It is your responsibility to verify and fulfil the passport, visa, health and immigration requirements applicable to your itinerary. We can provide general information on these requirements only.

- Delays and Missed Transport Arrangements: If you or any member of your party misses your flight or other transport arrangement, or if it is cancelled or delayed for any reason, you must contact us immediately at +27825705710.
It is your responsibility to ensure that you arrive at the departure point of your trip at the time specified in your booking documentation. We do not accept responsibility or liability for any disruption or delay in travel arrangements that you have booked independently. Failure to reach your departure point on time may result in you missing some or all of your booked project.
- Force Majeure: Except where otherwise expressly stated in these Booking Conditions, we are not liable or obligated to compensate you if our contractual obligations are affected by “Force Majeure”. For the purposes of these Booking Conditions, Force Majeure includes any event beyond our or our supplier’s control, the consequences of which could not have been avoided even with all reasonable measures taken. Examples include but are not limited to actual or threatened warfare, acts of terrorism, civil unrest, significant health risks such as serious disease outbreaks at the travel destination, natural disasters like floods, earthquakes, or weather conditions making travel to or staying at the destination unsafe, actions by government or other authorities, including port or river authorities, industrial disputes, labor strikes, port closures, natural or nuclear disasters, fires.
- Assistance: While participating in your project, if you encounter difficulty for any reason, we will offer appropriate assistance promptly based on the circumstances.
- Law and Jurisdiction: These terms and conditions are governed by South African law. Any dispute arising between the parties falls under the exclusive jurisdiction of the courts of South Africa.
